Privacy policy

1. Introduction
This policy explains how Wojo Software LLC (“we”, “us”) collects, uses and shares information when you use the Calibeam desktop app for macOS and Windows, the account pages at account.calibeam.app, and this website. Wojo Software LLC is responsible for the personal information described here.
Calibeam is designed to keep your work on your computer. Calibration runs locally, and your measurements, display profiles, notes and reports are stored on your machine. This policy describes the information that does leave your computer, and what we collect through the account pages and this website.
2. Information we collect
2.1 Account and license
A Calibeam license is tied to your email address; the free demo needs no account. When you sign in and activate a computer, we collect:
- your email address and the licenses associated with it;
- for each computer you activate, a device identifier, the operating system, the app version, and activation and check-in dates;
- a device token the app uses to confirm your license;
- your signed-in sessions on the account pages.
2.2 Security and fraud prevention
When you sign in, activate or release a computer, and periodically when the app confirms your license, we record the IP address of the request and the approximate location (country and region) derived from it. We also keep limited records of how each license and computer uses our online services. We use this information to protect accounts and to prevent fraud and abuse.
The account pages and the beta signup form use Cloudflare Turnstile to confirm that a request comes from a person rather than an automated script. Turnstile sends Cloudflare technical information about your browser and connection, which Cloudflare handles under its Turnstile Privacy Addendum.
2.3 Anonymous calibration data
To improve its guidance and its display database, Calibeam shares anonymous data from real calibration runs. This is on by default, and you can turn it off at any time in the app under Settings › Privacy & sharing ›Share anonymous run data. Turning it off also deletes any data waiting to be sent. Demo runs are never shared.
This data includes:
- calibration results: the test patterns shown, the meter’s readings, the adjustments made to the display, and the ranges of its picture controls;
- display information: the type of display and, if it is in Calibeam’s display database, its brand and model;
- meter information: the type of meter, not its model or serial number;
- system information: the operating system and version, the graphics vendor, and the app version.
This data does not include your name, email address, account or license details, serial numbers, file paths, or the names you give to displays or profiles. It is not linked to you, your account or your computer, and we do not record IP addresses when we receive it. Because it is not linked to an account, we cannot look it up in response to an access or deletion request.
2.4 Crash reports
When the app encounters an error, it sends a crash report to Sentry, our error-reporting provider, so we can diagnose and fix the problem. This is on by default, and you can turn it off at any time in the app under Settings › Privacy & sharing › Send crash reports.
A crash report contains details of the error, recent app log messages, the app version, and basic information about your operating system and computer model. Before a report is sent, the app removes personal details such as names, email addresses, serial numbers and IP addresses; if it cannot, the report is not sent. Crash reports do not include usage analytics or screen contents. When crash reports are off, nothing is sent unless you choose to send a report when the app asks.
2.5 Feedback and bug reports
When you send feedback or a bug report from the app, we receive your message, your email address if you provide one, the app version, and your operating system and version.
A bug report can also include diagnostic files from your most recent calibration, such as logs, measurements and the calibration report. These files can include your meter’s serial number and the names you gave your display profiles. They are attached by default; the app shows you what will be sent and lets you leave them out.
2.6 Beta signup and release notices
The beta signup form collects your email address, operating system, projector or TV model, and your colorimeter and spectrophotometer if you name them. The release-notice form collects your email address only. We do not store your IP address with your signup.
2.7 Update checks
When you open the app, it checks our servers for a newer version. Apart from standard network information, this check sends only the app version.
2.8 Website analytics
This website uses Cloudflare Web Analytics to count visits and measure how quickly its pages load. When a page loads, a small script sends Cloudflare the page address (without any query string), the page that linked to it, your browser and operating system, page-load timings, and the country your connection comes from. It does not set cookies or store anything in your browser. We see only totals, such as visits per page, and we do not use this data to identify or follow individual visitors.
3. How we use information
We use the information described above to:
- provide your license, sign-in and computer activations;
- protect accounts and prevent fraud and abuse;
- diagnose and fix problems, and respond to feedback and support requests;
- improve Calibeam’s calibration guidance, display database and compatibility;
- understand how many people visit this website, and keep its pages fast;
- select beta participants and tell you about the beta and the 1.0 release;
- comply with our legal obligations.
We send email only about sign-in and your account (codes and links, and notices when a computer is added or your account email changes) and, if you signed up, about the beta and the release. To stop beta and release emails, email [email protected] and we will remove your address. We do not add your address to marketing lists. We do not use your information for advertising, and we do not sell, rent or trade it.
If you are in the European Economic Area, the United Kingdom or Switzerland, we rely on the following legal bases: performance of our contract with you for your license, sign-in and activations; our legitimate interests in securing our services, fixing errors and improving Calibeam, for security records, crash reports, bug reports, calibration data and website analytics, which you can object to at any time, including by turning off the settings in section 9; your consent for the beta signup and release notices, which you can withdraw at any time; and compliance with legal obligations where they apply.
4. How we share information
We share personal information only with service providers that process it on our behalf and under our instructions:
- Cloudflare hosts this website, the account pages and the app’s online services, including their databases, file storage and downloads, delivers account email, and provides Turnstile and this website’s analytics. Cloudflare also uses Turnstile data for its own purposes, such as improving bot detection, as described in its Turnstile Privacy Addendum.
- Sentry receives and stores crash reports.
Calibeam is not on sale during the private beta. When it is, purchases will be handled by a merchant of record, named here before sales open, which will process your payment under its own privacy policy. We will receive the order details needed to issue your license, not your payment card details.
We may also disclose information where required by law, to protect the rights, safety or property of our users or others, or as part of a merger, acquisition or sale of our business, in which case this policy will continue to apply to it.
5. Cookies
This website does not set cookies or store information in your browser, and it runs no advertising. Its analytics (section 2.8) work without cookies. The account pages set two cookies that are necessary for signing in: one while you request a sign-in code (it expires after 20 minutes) and one for your signed-in session (up to 60 days).
6. How long we keep information
- Account and license data: for as long as your account exists. Records of activated computers are kept until the licenses issued to them expire.
- Security records: IP addresses are deleted after 90 days, and from all our systems within about 120 days. Approximate location is kept for the life of the account, or 90 days when no account matches. Service-usage records are kept for up to 180 days.
- Crash reports: up to 90 days, after which Sentry deletes them.
- Feedback and bug reports: when we close a report, your email address and any attachments are deleted. We keep the message and the app and system details to track the issue.
- Beta signup and release notices: until we no longer need them for the beta and the release, or until you ask us to delete them.
- Anonymous calibration data: kept indefinitely to improve Calibeam.
- Website analytics: Cloudflare keeps full visit records for 7 days, then a sample of them for six months.
- Account email: Cloudflare keeps delivery logs for about seven days.
We keep encrypted backups on servers we operate ourselves. Deleted information can remain in these backups for up to 90 days, and if we ever restore a backup, we remove any accounts deleted since it was taken.
7. International transfers
We are based in the United States, and our service providers process information in the United States and other countries. If you are outside the United States, your information will be transferred to countries whose data protection laws may differ from yours. Where required, these transfers are covered by safeguards such as the European Commission’s Standard Contractual Clauses and the EU–U.S. Data Privacy Framework, as provided in our service providers’ data processing terms.
8. Security
We protect the information we hold with measures suited to it: connections to our services and our backups are encrypted, sign-in uses one-time codes instead of passwords, and calibration data is kept separate from account data. No method of transmission or storage is completely secure, but we work to protect your information and to keep what we collect to a minimum.
9. Your choices and rights
You can turn off anonymous calibration data and crash reports at any time in the app’s settings. Blocking this website’s analytics script, for example with a content blocker, does not affect how the site works.
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a copy of it, object to or restrict how we use it, and withdraw consent you have given. To make a request, email [email protected] from the address on your account or signup. We may need to confirm that the request comes from you, and we will respond within the time the law requires. Deleting your account ends its licenses and immediately removes your email address, sessions, and location and IP records from our active systems; backups expire as described in section 6. Other privacy requests do not affect your license.
If you are in the European Economic Area, the United Kingdom or Switzerland, you can also lodge a complaint with your local data protection authority. If you are a resident of California or another U.S. state with a privacy law, you have the rights that law provides, and we will not treat you differently for using them. We do not sell or share personal information as those laws define it.
10. Children
Calibeam is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has provided us with personal information, contact us and we will delete it.
11. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page and change the date at the top, and we will give notice of material changes on this website or by email. If a change expands the information the app sends from your computer, we will update this policy before releasing that change.
12. Contact
For questions about this policy or your information, contact Wojo Software LLC at [email protected].
